What it does
The Alto integration is built for letting agents who live in Alto but want AI-triaged tenant reporting, a contractor marketplace and automated invoicing. PropServ does the work; Alto gets the paper trail.
The moment a tenant report or works request is created in PropServ, a matching work order is created in Alto against the right property — no double entry.
As the job moves through PropServ — quote requested, contractor instructed, complete awaiting invoice, invoice received or cancelled — the Alto work order status updates with it.
PropServ's severity score (or your manual override) maps straight to Alto's Urgent, High, Non-urgent and Low priorities, so urgent jobs look urgent in Alto too.
The accepted contractor price is written to the Alto work order, and the works-order PDF and the paid invoice PDF are attached to it automatically.
Active Alto tenancies and tenants are pulled into PropServ every night. New tenants get an invite to report issues; ended tenancies detach automatically.
Browse the documents already stored against a property in Alto from inside PropServ and share them via the Document Hub — always read live from Alto, never a stale copy.
Gas safety, EICR, EPC, PAT, servicing and inspection dates appear per property in Planned Maintenance as read-only "From Alto" items, with the history of completed checks. Track one item — or every item of a type in one go — and PropServ reminds you or raises the job automatically.
When a tracked item's job completes in PropServ, the Alto management event is marked complete. Alto schedules the next cycle as usual and PropServ follows the new due date — the two calendars never drift.
How it works
Here's the life of one repair once Alto and PropServ are connected — whether a tenant reports it or a compliance date raises it.
PropServ pulls active tenancies from Alto — on demand when you first connect, then every night. Each Alto property is matched to a PropServ property by Alto ID, then by address; strong matches link automatically and borderline ones go to a review queue so nothing is mis-linked.
Switch on Alto maintenance events and every Alto management event with a due date — gas safety, EICR, EPC, PAT, servicing, inspections — appears against its property in Planned Maintenance. Track an item, or every item of a type at once, and PropServ reminds you and can raise the work request automatically when it falls due.
Tenants imported from Alto are invited to PropServ and can report by app, web, WhatsApp or a call answered by PropServ VoiceLine. AI asks follow-up questions, scores severity and checks photos for mould.
As soon as the report or works request exists in PropServ, an Alto work order is created for the linked property, carrying the description, the tenant's follow-up answers and a priority derived from the severity score.
When you request quotes the Alto work order becomes Quote Requested; instructing a contractor sets Supplier Instructed and writes the agreed price; completion moves it to Complete Awaiting Invoice; a paid invoice moves it to Complete Invoicing Received. Cancel in PropServ and Alto is cancelled too.
The works-order PDF is attached to the Alto work order when the contractor is instructed, and the paid Stripe invoice PDF is attached when payment lands. Your Alto record is complete without anyone uploading anything.
When a tenancy is marked vacated or cancelled in Alto, the tenant is detached from the property in PropServ and any pending invite is withdrawn. If they've no other active tenancy, you get a quick keep-or-revoke access review.

Tenancies, tenants, property documents and maintenance & compliance dates come from Alto into PropServ; work orders, statuses, quotes, PDFs and event completions go from PropServ into Alto. Changes made to a work order inside Alto aren't read back — PropServ is where you manage the job.
No. You enable PropServ from Alto and the PropServ team completes the connection. There are no credentials to paste and no plan add-on to buy for the integration itself.
Not currently. Landlord records and property photos are outside the Alto sync; documents held against a property in Alto can be viewed live inside PropServ.
